About Echuca Moama Toy Library


The Echuca Moama Toy Library is an incorporated community organisation that allows families, carers, childcare educators, community groups and organisations to borrow toys and resources at reasonable cost. The Echuca Moama Toy Library is a place to meet other parents and to learn about the importance of play.

Echuca Moama Toy Library promotes the importance and value of play by loaning quality, educational play materials to our community, and connects our member families with each other and their community.

About the Committee

As an Incorporated Association, the Committee is responsible for upholding the ‘Echuca Moama Toy Library Incorporated Rules’ as mandated by the ‘Associations Incorporation Reform Act’. The Committee’s job is to ensure that the Toy Library complies with the Act and that the Toy Library functions effectively to the benefit and enjoyment of all members.

What does being on the Committee involve?

Committee meetings are held approximately 8 times a year, usually at the Toy Library on a weekday evening. Meetings usually run for about 1.5 hours. There will be other occasions when the Committee is required to help out, for example: during stocktake; when the Toy Library is involved in community events; assisting with promotional activities. Each Committee member will be given a copy of The Rules so that they can familiarize themselves with these.

Difficulties

If at any time you are unable to fulfil your commitments on the Committee please talk to the President or Vice-President. If you at any time are dissatisfied with your treatment as a volunteer, we encourage you to discuss this with the Volunteer Roster Coordinator or the President.

Committee Position Summaries

Executive Committee


President: Oversees the practices of the Echuca Moama Toy Library Committee and the running of the Echuca Moama Toy Library.

Vice-President: Assists the President in their role of governing the Echuca Moama Toy Library.

Secretary: Maintains all important and relevant documentation for the Toy Library, including letters and meeting minutes. Distributes documentation as appropriate and files or lodges forms and documents when necessary.

Treasurer: Oversees all aspects of financial management of the Toy Library. Maintains operational finances for day-to-day running of the Toy Library, prepares finance reports, pays accounts, completes financial forms

‘Ordinary’ Members can comprise of the following roles:


Membership Coordinator: Maintains membership database. Welcomes and communicates with all members. Develop ways to increase membership and reports to the Committee. Works closely with the roster coordinator.

Volunteer Roster Coordinator: Uses the membership database to construct a roster of volunteers for the Toy Library opening times, ensuring that rosters are fair, inclusive and fully staffed. Communicates rosters to all members and sends reminders.

IT: Is responsible for the maintaining a working IT platform for the general running of the Toy Library, sourcing both hardware and software as required and coordinating any new systems or repairs.

Funds Acquisition: Initiates and maintains contacts with funding bodies and community groups so as to obtain regular ongoing, fixed funding, grants or donations.

Toy Purchasing: Oversees purchasing of new toys including cataloging, labeling and packaging of any new toys. Facilitates the Toy Purchasing Sub-committee.

Toy Review: Keeps a regular check on  toys and is responsible for toys needing maintenance, repairs, repackaging, relabeling or spare parts. Follows up on overdue toys.

PR: Promotes the Toy Library and its values in the wider community. Ensures that any events or new purchases receive media coverage. Is responsible for social media and website activity and maintenance.

Community Liaison: Initiates and maintains contacts with community groups, health professionals and children’s educators, to establish relationships and promote the Toy Library in the wider community and ensure our presence at community events.

Newsletter Editor: Produces a regular e-newsletter for Toy Library members and the wider community.
